How to Cancel Microsoft 365 for Business: Admin Center Steps, the 7-Day Refund Window and What Happens to Your Data
By The Uptime Report Team · Last reviewed: October 2026
How to cancel Microsoft 365 for business: open the admin center, go to Billing > Your products, pick the subscription, select Cancel subscription. MCA and CSP plans refund only within seven days of purchase or renewal, per Microsoft Learn.
Key takeaways
- MCA subscriptions bought directly or through a partner can be cancelled for a prorated refund only within 7 days of start or renewal, with the credit returned in 1 to 2 days (Microsoft Learn, July 2026).
- After day 7 you can only turn off recurring billing; an annual term paid monthly keeps billing every month until the term ends (Microsoft Learn).
- Most direct subscriptions spend 30 days Expired and 90 days Disabled (since February 9, 2026, direct MCA license-based subscriptions skip Expired); data left behind is deleted no later than 180 days after cancellation (Microsoft Learn, June 2026).
- Since May 4, 2026, a CSP subscription set to auto-renew off without an explicit cancel converts to a paid Extended Service Term at the monthly rate plus 3% (Partner Center).
- Changing MSPs does not require cancelling: a Partner Center transfer keeps the term, price and user counts, needs both partners’ approval and expires after 30 days if ignored (Partner Center, May 2026).
- Microsoft 365 Personal and Family are refundable within 30 days of initial purchase or before the first recurring charge, whichever is sooner, in most cases (Microsoft Support).
How do you cancel a Microsoft 365 business subscription?
You cancel a Microsoft 365 business subscription in the Microsoft 365 admin center, under Billing > Your products (or Subscriptions in the Simplified view). A Billing Administrator on a MOSA account, or a billing account or billing profile owner or contributor on an MCA account, opens the subscription and selects Cancel subscription. Any custom domain has to be removed first, according to Microsoft Learn’s cancellation page (updated July 2026).
Before you select Cancel subscription:
- Find your billing account type: in the admin center go to Billing > Billing accounts and read the Billing account type column (MCA, MPA or MOSA), per Microsoft Learn’s billing account guide.
- Confirm your role. MOSA needs at least Billing Administrator; MCA needs Billing account owner or contributor, or Billing profile owner or contributor. Whoever signed up for the subscription is automatically the Billing account owner.
- Back up mailboxes, OneDrive and SharePoint (steps in the backup section below).
- Remove your custom domain: move users and groups to another domain, then go to … Show all > Settings > Domains, select the domain, select Remove domain and confirm, per Microsoft Learn’s domain removal steps.
- On a MOSA account with more than 25 licenses, reduce the subscription to 25 or fewer licenses before you cancel online.
Steps on an MCA billing account:
- Go to the Microsoft 365 admin center at admin.microsoft.com.
- Select Subscriptions (Simplified view) or Billing > Your products (Dashboard view).
- Select the subscription you want to cancel.
- In the Billing settings section, under Subscription status, select Cancel subscription.
- Inside the cancellation window, pick a reason, add optional feedback and select Cancel subscription.
- Outside the window, the Canceling your subscription pane only offers edit the recurring billing settings: select Off, then Save. Microsoft Learn confirms the subscription stays active until it expires.
- Repeat for every active subscription.
Steps on a MOSA billing account:
- Open the admin center and go to Subscriptions or Billing > Your products.
- Select the subscription, then in the Subscription and payment settings section select Cancel subscription.
- In the Options for canceling your subscription pane, choose Cancel now or Cancel before the next renewal date, then select Next.
- Select a reason and select Cancel now. The status changes to Disabled.
Do not delete the subscription to speed things up. Microsoft Learn warns that an explicitly deleted subscription skips the Expired and Disabled states and that SharePoint Online and OneDrive content is deleted immediately.
Which billing account do you have, and why does it change the rules?
Microsoft 365 business subscriptions sit on one of three billing account types, and each one cancels differently. A Microsoft Customer Agreement (MCA) account refunds only within seven days of start or renewal. A Microsoft Online Subscription Agreement (MOSA) account gives a prorated credit or refund whenever you cancel. A Microsoft Partner Agreement (MPA) account belongs to your Cloud Solution Provider (CSP) partner, who cancels for you.
| Billing account | How you got it | Cancellation window | Refund | Who cancels | Source |
|---|---|---|---|---|---|
| MCA | Bought directly, through a Microsoft representative or an authorized partner | 7 days after start or renewal (10 days for partner purchases in Chile) | Prorated, credited or returned within 1 to 2 days | Billing account or profile owner or contributor; seller-led proposal orders go back to the seller | Microsoft Learn |
| MOSA | Signed up directly and not yet moved to MCA | Any time | Prorated, credited to the next invoice or returned in the next billing cycle | Billing Administrator, online for 25 or fewer licenses | Microsoft Learn |
| MPA (CSP new commerce) | Bought from an MSP or other CSP partner | 7 calendar days of purchase or renewal | Prorated | The partner, in Partner Center | Partner Center |
| Enterprise Agreement or Volume Licensing | Signed agreement with a licensing partner | Set by your agreement | Set by your agreement | Licensing partner or Microsoft account team | Microsoft Learn |
One MCA exception catches larger buyers: Microsoft Learn states that a subscription bought through a proposal presented by a Microsoft seller is not eligible for the seven-day policy, and any cancellation goes through that seller. MCA accounts also carry Microsoft Entra ID Free, which cannot be cancelled because it manages the billing account.
How long is the Microsoft 365 cancellation window?
For most Microsoft 365 business subscriptions the cancellation window is seven calendar days from purchase or renewal. Partner Center states that since September 1, 2024, all license-based purchases through CSP partners run on new commerce, apart from five-year and six-year public sector legacy offers. After day seven you cannot cancel mid-term; you can only stop the next renewal.
| Rule | Number | Applies to | Source |
|---|---|---|---|
| Cancel for a prorated refund | 7 days after start or renewal | MCA, direct or via partner | Microsoft Learn |
| Cancel for a prorated refund, partner purchase in Chile | 10 days | MCA via a partner in Chile | Microsoft Learn |
| Self-serve cancellation, license-based | 7 calendar days of purchase | CSP new commerce; window reopens only at renewal | Partner Center |
| Refund lands | 1 to 2 days | MCA cancellation inside the window | Microsoft Learn |
| Remove licenses | 7 days after buying or renewing; later reductions show on the first invoice after renewal | MCA | Microsoft Learn |
| Online cancellation limit | 25 licenses | MOSA | Microsoft Learn |
| Refund, Microsoft 365 Personal or Family | 30 days of initial purchase or before the first recurring charge, whichever is sooner | Consumer plans bought from Microsoft | Microsoft Support |
If only some staff are leaving, remove licenses instead of cancelling. Microsoft Learn says you cannot reduce the count while every license is assigned, so unassign licenses first, and on MCA accounts the Remove licenses option works only while recurring billing is on. Licenses added mid-term get their own seven-day window from the day you bought them.
How much do you get back if you cancel within the window?
Inside the window, Microsoft refunds the unused part of the term. Partner Center’s cancellation policy shows the method: cancel on the third day and the refund covers the remaining paid period minus three days. For 10 users of Microsoft 365 Business Premium paid yearly at $22.00 per user per month, that works out to about $2,618 back on day three and no refund on day eight.
| Step | Input | Result |
|---|---|---|
| List price | Business Premium, $22.00/user/month, paid yearly (Microsoft, October 2026) | $264.00 per user per year |
| Annual charge | $22.00 x 12 months x 10 users | $2,640.00 |
| Daily value | $2,640.00 / 365 days | $7.23 per day |
| Cancel on day 3 | $2,640.00 x 362 / 365 | About $2,618.30 refunded |
| Cancel on day 8 (MCA or CSP) | Window closed: turn off recurring billing | $0 refunded; service runs to term end |
| Annual term paid monthly, day 8 | Microsoft Learn: monthly charges continue for the rest of the term | 11 further monthly payments at $220.00 |
The day-three figure is our arithmetic, assuming daily proration across a 365-day term; Microsoft does not publish its day-count basis, so the credit on your invoice is the authoritative number. The $220.00 monthly figure assumes the annual commitment is billed at the same $22.00 rate. The real risk is the cliff, not the proration: the refund shrinks by only $7.23 a day for seven days, then disappears on day 8.
Monthly-commitment seats can be stopped at the end of any month without penalty, and on every Microsoft 365 business plan they cost 20% more than the annual price. Partner Center advises partners to consider monthly terms for customers at risk of payment default because they allow cancellation at the end of any month.
| Plan | Annual, paid yearly ($/user/month) | Monthly subscription ($/user/month) | Difference | Monthly premium | Source |
|---|---|---|---|---|---|
| Microsoft 365 Business Basic | $7.00 | $8.40 | $1.40 | 20% | Microsoft, Oct 2026 |
| Microsoft 365 Business Standard | $14.00 | $16.80 | $2.80 | 20% | Microsoft, Oct 2026 |
| Microsoft 365 Business Premium | $22.00 | $26.40 | $4.40 | 20% | Microsoft, Oct 2026 |
The break-even is 10 months. One Business Premium seat costs $264.00 a year on the annual price, and $26.40 x 10 months is also $264.00, so a seat you expect to need for fewer than 10 of the next 12 months is cheaper on the monthly subscription. The same 10-month rule holds for Basic and Standard because the premium is 20% on each.
| Months a Business Premium seat is needed | Monthly subscription ($26.40 x months) | Annual commitment | Cheaper option |
|---|---|---|---|
| 3 | $79.20 | $264.00 | Monthly, saves $184.80 |
| 6 | $158.40 | $264.00 | Monthly, saves $105.60 |
| 9 | $237.60 | $264.00 | Monthly, saves $26.40 |
| 10 | $264.00 | $264.00 | Break-even |
| 11 | $290.40 | $264.00 | Annual, saves $26.40 |
| 12 | $316.80 | $264.00 | Annual, saves $52.80 |
For an MSP quoting a client, this turns into a seat-by-seat rule: put permanent staff on annual terms and put project, seasonal or probationary seats expected to last under 10 months on monthly terms, then state both prices on the quote so the client sees the $4.40 per seat per month cost of flexibility. The feature split that decides Basic, Standard or Premium is in our Microsoft 365 business plans comparison.
What happens to your data after you cancel Microsoft 365?
After a Microsoft 365 business subscription ends, it moves through Expired, Disabled and Deleted. For most direct offers, Expired lasts 30 days with normal user access, Disabled lasts 90 days with admin-only access, and then the data is deleted. A monthly subscription cancelled inside the cancellation window skips Expired and goes straight to Disabled, according to Microsoft Learn (updated June 2026).
| Stage | Length (most direct offers) | Users | Admins | Reactivate? | Source |
|---|---|---|---|---|---|
| Active | Default | Normal access | Normal access | Already active | Microsoft Learn |
| Expired | 30 days | Normal access to Microsoft 365, files and apps | Admin center access | Yes, by a Global or billing admin | Microsoft Learn |
| Disabled | 90 days | No access; apps move to read-only reduced functionality with Unlicensed Product notices | Data accessible to admins only; cannot assign licenses | Yes, by a Global or billing admin | Microsoft Learn |
| Deleted | Terminal | No access | Can manage other subscriptions | No; data deleted and Microsoft Entra ID removed if no other service uses it | Microsoft Learn |
| Purchase channel | Expired | Disabled or Inactive | Data deleted | Source |
|---|---|---|---|---|
| Direct from Microsoft, most offers, recurring billing off | 30 days | 90 days | Deleted at day 120 | Microsoft Learn |
| Direct, monthly subscription cancelled in window (data left behind) | Skipped | Disabled 90 days; may be deleted after that | Deleted by day 180 | Microsoft Learn |
| Direct MCA, license-based, from February 9, 2026 | Skipped | Service can continue month to month under an Extended Service Term until you cancel | No day count published: back up before the term end date | Microsoft Learn; docs history |
| CSP new commerce, auto-renew off, not EST eligible | 30 days | 90 days | Deleted at day 120 | Partner Center |
| CSP new commerce, EST eligible, cancel at end of term | None | Disabled 90 days | Deleted at day 90 | Partner Center |
| Enterprise or Volume Licensing, monthly or annual term | 30 days | Inactive 90 days | Deleted at day 120 | Microsoft Learn |
| Enterprise or Volume Licensing, multi-year term | 90 days | Inactive 90 days | Deleted at day 180 | Microsoft Learn |
The direct MCA row needs a closer look. The public revision history of the Learn page shows that the February 6, 2026 version said customers “can continue to access our services without disruption after the subscription end date, until the subscription is either renewed or canceled” (MicrosoftDocs commit, February 6, 2026); the live page replaced that sentence with the Extended Service Term option. For an annual direct MCA subscription, turn off recurring billing deliberately, which Learn says ends the subscription on its term end date, and back up before that date rather than counting on a 30-day Expired buffer.
Reactivation works only before Deleted. In the admin center go to Billing > Your products, select the subscription and select Reactivate; on an MCA account Microsoft Learn says this creates a new subscription with the same commitment term, starting that day. For direct purchases, buying a new subscription of the same type after deletion does not restore the old data.
Third-party cancellation guides, and sometimes Microsoft’s own summary pages, compress these rules. The table compares common claims with Microsoft’s detailed documentation.
| Common claim | What Microsoft’s detailed pages say | Source |
|---|---|---|
| Admins keep data for 90 days after cancelling (Microsoft’s own business plans FAQ says this too) | The plans FAQ promises 90 days in a “limited function account”, but Learn says data left behind “might be deleted after 30 days” (cancel page) or “after 90 days” (lifecycle page), and is deleted no later than 180 days after cancellation. Back up inside 30 days. | microsoft.com FAQ; Microsoft Learn, two pages |
| You can cancel a business plan any time | True only for MOSA. MCA and CSP subscriptions cancel only within 7 days of start or renewal. | Microsoft Learn; Partner Center |
| Refunds within 60 days on annual plans | Consumer plans: 30 days from initial purchase or before the first recurring charge, whichever is sooner. | Microsoft Support |
| Deleting the subscription finishes the job faster | Deletion skips Expired and Disabled; SharePoint Online and OneDrive data is deleted immediately. | Microsoft Learn |
How do you cancel Microsoft 365 bought through a CSP partner or MSP?
If an MSP or other Cloud Solution Provider partner sold you Microsoft 365, the subscription sits on the partner’s Microsoft Partner Agreement, and Microsoft Learn directs you to that partner, who cancels it in Partner Center. New commerce subscriptions cancel for a prorated refund within seven calendar days of purchase or renewal; after that the partner can only set what happens at the end of the term.
That end-of-term setting changed in 2026. Partner Center’s Extended Service Terms page says that from May 4, 2026, the free grace period on nonrenewed subscriptions ends: customers either cancel at end of term without service or move to a paid Extended Service Term (EST), billed monthly at the monthly term rate plus a 3% uplift, or 23% where no monthly plan exists.
The trap is the old “auto-renew off” switch. Partner Center converts an EST-eligible subscription set to auto-renew false without an explicit cancel instruction into EST with auto-renew true within 24 hours, so a customer who only asked for renewal to be switched off keeps paying month to month. Ask your partner for these items in writing:
- A list of every Microsoft 365 subscription with its term end date, billing frequency and license count.
- For any subscription bought or renewed in the last 7 days: cancel now for the prorated refund.
- For the rest: an explicit Cancel at end of term instruction, not auto-renew off on its own.
- No suspension near term end: an EST-eligible subscription still suspended when its term ends defaults to cancel without service and cannot return to Active.
- The data plan: Partner Center keeps a 90-day post-cancellation window in which repurchasing the same SKU restores customer data and license assignments.
Partners carry the bill whatever happens on the customer side. Partner Center’s cancellation policy makes the partner responsible for outstanding amounts even when a customer cannot or will not pay, so check whether your MSP agreement passes annual commitments through to you: on 10 Business Premium seats paid monthly, each remaining month is $220.00. Contract terms to look for, and what they typically cost, are in our guide to managed IT services pricing.
Switching MSPs? Transfer, don’t cancel
If you are changing MSPs but keeping Microsoft 365, do not cancel: Partner Center can move new commerce license-based subscriptions from the old partner to the new one mid-term. The license-based transfer page (updated May 2026) says users, renewal settings and price carry over, the old partner stops billing on the transfer date, and no new cancellation window opens.
| Item | After a partner-to-partner transfer | Source |
|---|---|---|
| Licenses, user counts, renewal and scheduled renewal settings | Preserved; scheduled changes move with the subscription | Partner Center |
| Price and promotions | New subscription at the original subscription’s price; promotions carry over | Partner Center |
| Term | Unchanged; the new partner bills from the transfer date to the original term end | Partner Center |
| Cancellation window | None: transferred subscriptions are not new terms | Partner Center |
| Subscription ID | Changes: the new partner gets a new subscription ID | Partner Center |
| Old partner’s billing | Monthly-billed annual terms: no further invoices; prepaid annual terms: prorated refund to the old partner | Partner Center |
| Admin access (GDAP) | Separate from the transfer, which moves billing ownership only: the new partner requests its own GDAP, and you remove the old partner’s roles | Partner Center GDAP |
| Web direct subscriptions bought from Microsoft | Cannot be transferred to a CSP partner with this feature; CSP to CSP only | Partner Center |
Both partners must approve. Partner Center says Microsoft will not override a transfer without the outgoing partner’s approval, does not mediate disputes, and lets an unanswered request expire after 30 days. The steps, in order:
- Client: tell the outgoing partner you are moving, sign the Microsoft Customer Agreement with the incoming partner and accept its relationship request.
- Incoming partner: sign the Microsoft Partner Agreement and get the outgoing partner’s Microsoft ID (tenant ID).
- Incoming partner, as Admin agent: Partner Center > Customers > the customer > Transfers > Add new, enter the tenant ID and the client’s notification email, then Send transfer request. A transfer holds at most 25 license-based line items per billing plan.
- Outgoing partner, as Admin agent: Customers > the customer > Transfers, open the request, select the subscriptions and Submit within 30 days.
- Microsoft: runs the transfer; most finish in under an hour and some take up to 72 hours. All three parties get a completion email.
- Incoming partner: confirm the new subscription IDs and pricing in the estimated billing recon file, which shows the line items within 24 hours, and send its GDAP request, which expires after 90 days if not approved.
- Client: approve the new GDAP request, then in the Microsoft 365 admin center open Partner relationships, select the old partner, select Remove roles and confirm with Yes.
What it costs the partners: the outgoing partner pays only up to the transfer date but has its CSP incentive on that subscription reversed pro rata, and the incoming partner’s incentive is unclear: the same Partner Center page says “The future partner would then receive the pro-rated incentive rebate for the billed revenue” and, two paragraphs later, “The target partner doesn’t earn incentives for customer transfers since the customers aren’t considered new”, so check the incentive statement after the transfer. Expect the outgoing MSP to have little reason to hurry, so put a transfer clause in your next agreement: the MSP approves any partner transfer request within 5 business days and hands over SKU, term end and pricing details. Our guide to choosing an IT managed service provider covers the other contract checks.
What should you back up before cancelling Microsoft 365?
Back up before the cancellation takes effect, because users lose access as soon as a subscription is Disabled. Microsoft Learn’s cancellation page says customer data left behind might be deleted after 30 days and is deleted no later than 180 days after cancellation. Mailboxes, OneDrive and SharePoint each need their own export path, and departed users have shorter clocks of their own.
- Export mail, contacts and calendars to an Outlook .pst file, using Microsoft’s .pst export steps.
- Copy OneDrive and SharePoint document libraries to a file share or local storage, following Microsoft’s manual migration guidance.
- Check users you already deleted: per Microsoft Learn, a deleted account can be restored for 30 days and OneDrive files are retained for 30 days by default, then kept 93 days in the site collection recycle bin; a soft-deleted mailbox is recoverable within 30 days, per the Exchange Online limits.
- Offboard computers, phones and tablets from Microsoft Defender for Business if you had it or Business Premium, using Microsoft’s offboarding steps.
- Have users uninstall the Microsoft 365 apps. Unlicensed apps run in reduced functionality mode: read and print only.
- Optional: close the account. Microsoft Learn lists five steps: delete users, cancel subscriptions, delete disabled subscriptions (MOSA only; MCA subscriptions delete at term end), disable multifactor authentication, delete the Microsoft Entra tenant.
A backup kept outside the tenant removes the 30-day pressure only if a restore has been tested before the source is gone: the tools are compared in our Microsoft 365 backup guide, and the restore test is set out in our backup and recovery guide.
In what order should you move email and the domain before cancelling?
Move mail first, remove the domain second, cancel last. Microsoft Learn requires the custom domain to be removed before you cancel, and a domain cannot be removed while users, groups or mailboxes still use it. The domain removal guide says removal takes as little as five minutes, or several hours up to a day when many objects reference the domain.
- Back up mailboxes, OneDrive and SharePoint (previous section).
- Set up DNS records at the new DNS host ahead of time, with MX pointing to the new mail provider, while leaving the Microsoft 365 records unchanged.
- Tell users the switch date and the new provider’s name.
- On the switch day: if your nameservers are at Microsoft 365, update the DNS records there to match, then change the NS records at your registrar; if your nameservers are elsewhere, point MX at the new provider there.
- Save any remaining user data and uninstall Microsoft 365 apps where needed.
- Move users, shared mailboxes and groups to another domain (Users > Active users > Change domains), using PowerShell for hundreds of users so none are missed.
- Remove the domain: Settings > Domains > select it > Remove domain. Allow five minutes to a day.
- Cancel the subscription or turn off recurring billing.
Time this against the refund window. On an MCA or CSP subscription only the 7 days after start or renewal give a prorated refund, so if the client wants money back, steps 2 to 8 have to be finished inside that week; otherwise, schedule the cutover before the term end date. Teams Phone numbers need the same planning: we found port-in guidance on Microsoft Learn but no published port-out procedure as of October 2026, so ask the new carrier to start the number port before you cancel any Calling Plan licenses.
Which cancellation path fits your situation?
The right path depends on two facts: where you bought Microsoft 365, and how many days have passed since the purchase or last renewal. Apple, Google and retailer purchases are cancelled in that store; consumer plans at account.microsoft.com; direct business plans in the admin center; partner-bought plans by the partner. The day count decides refund or no refund.
| If your situation is | Do this | Source |
|---|---|---|
| Bought in the Apple App Store or Google Play | Cancel in the store (steps in the consumer section); refunds come from Apple or Google | Microsoft Support |
| Microsoft 365 Personal or Family bought from Microsoft | Cancel at account.microsoft.com/services/microsoft365; refund within 30 days of initial purchase or before the first recurring charge, whichever is sooner | Microsoft Support |
| Direct MCA, within 7 days of start or renewal | Cancel subscription; prorated refund in 1 to 2 days | Microsoft Learn |
| Direct MCA, day 8 or later | Turn off recurring billing; access continues to term end; annual terms paid monthly keep billing | Microsoft Learn |
| Direct MOSA, 25 or fewer licenses | Cancel now or before the next renewal date; prorated credit or refund | Microsoft Learn |
| Direct MOSA, more than 25 licenses | Reduce to 25 or fewer licenses, then cancel | Microsoft Learn |
| CSP partner, within 7 days | Partner cancels; prorated refund | Partner Center |
| CSP partner, after 7 days | Partner sets an explicit cancel at end of term, not auto-renew off alone | Partner Center |
| Changing MSPs, keeping Microsoft 365 | Partner-to-partner transfer: no cancellation, same term and price | Partner Center |
| Some users leaving, MCA | Remove licenses within 7 days of buying or renewing; otherwise the reduction applies after renewal | Microsoft Learn |
| Free business trial | Turn off recurring billing; a trial with no payment method expires without charge, and its data is deleted | Microsoft Learn |
How do you cancel Microsoft 365 Personal or Family?
Microsoft 365 Personal, Family, Basic and Premium are cancelled at account.microsoft.com/services/microsoft365, signed in with the Microsoft account that bought the plan. You select Cancel subscription (it may read Upgrade or Cancel), review the page and choose I don’t want my subscription. Microsoft refunds within 30 days of the initial purchase or before the first recurring charge, whichever is sooner, per its subscription refund policy.
- Go to account.microsoft.com/services/microsoft365 and sign in with the purchasing account.
- Find the subscription and select Manage. If you see Turn on recurring billing instead, the plan already ends on the date shown and nothing more is needed.
- Select Cancel subscription, then read the Please review section, which may list cheaper plans.
- Select I don’t want my subscription to finish, or I want to keep my benefits to back out.
Steps follow Microsoft Support’s cancellation page. Purchases through Amazon or another retailer are managed by that retailer, and subscriptions bought in Germany can be cancelled without signing in. A plan bought in an app store is billed by the store, and Microsoft sends cancellation and refund requests there:
- iPhone or iPad: Settings > your name > Subscriptions > Microsoft 365 > Cancel Subscription. No Cancel button, or an expiration message in red, means it is already cancelled (Apple Support).
- Mac: App Store > your name at the bottom of the sidebar > your name again > Subscriptions > Microsoft 365 > Cancel Subscription.
- Apple refund: sign in at reportaproblem.apple.com, choose I’d like to > Request a refund, pick the reason and the subscription, then Submit; Apple says to expect an update in 24 to 48 hours (Apple Support).
- Android: open subscriptions in Google Play, select Microsoft 365 and tap Cancel subscription; on a computer, go to play.google.com subscriptions, select Manage, then Cancel subscription (Google Play Help). Uninstalling the app does not cancel.
| After you cancel a consumer plan | What happens | Source |
|---|---|---|
| Cloud storage | Drops to 5GB, covering OneDrive and Outlook.com attachments | Microsoft Support |
| Outlook.com mailbox storage | 15GB | Microsoft Support |
| People on a Family or Premium plan | Their storage is also reduced and they lose other benefits | Microsoft Support |
| Over the free allowance | No new OneDrive uploads, edits or syncs; no sending or receiving in Outlook.com | Microsoft Support |
| OneDrive deletion if still over the allowance | After 6 months on the cancellation page; after 12 months on the refund page | Microsoft Support |
| Refund on a renewal charge | Most recent recurring charge refunded if you cancel within 30 days of payment, once per account per product | Microsoft Support |
| Prorated refund at any time | Basic, Personal and Family in Canada, Denmark, France, Israel, Korea, Türkiye and 13 other listed countries or territories | Microsoft Support |
Microsoft’s two support pages disagree on the OneDrive deletion clock, 6 months versus 12 months. Plan on the shorter one and move files below 5GB before you cancel.
How we compiled this
We compiled this guide from 33 primary documents, all accessed in October 2026: 22 Microsoft Learn and Partner Center pages, 4 Microsoft Support pages, 4 microsoft.com pages and 3 Apple or Google help pages, plus one Learn page’s public GitHub history. Refund and break-even figures are our arithmetic from US list prices. We did not run cancellations or transfers in a live tenant.
Frequently asked questions
Can I switch to a cheaper Microsoft 365 plan instead of cancelling?
Yes. On an MCA account open the subscription in the admin center, select Change to a different subscription option under Other subscription options, then pick the timing, license count, term and billing frequency. Microsoft assigns the new licenses and cancels the old plan for you, per Microsoft Learn. A refund on the old plan still applies only within 7 days of its start or renewal.
Can I pause a Microsoft 365 business subscription?
Microsoft documents a Suspended state only for CSP subscriptions, set by the partner. Users lose access while admins keep data, and the partner is still billed, per Partner Center. An EST-eligible subscription still suspended when its term ends defaults to cancel without service and cannot return to Active, so suspension is a short stopgap, not a cheaper way to wait.
What happens to Microsoft 365 if our MSP’s GDAP access expires?
Nothing happens to the subscriptions: Partner Center’s GDAP FAQ says existing subscriptions do not change when a GDAP relationship expires. The MSP simply loses admin access. A GDAP relationship lasts at most two years, auto-extend adds six months at a time, and an unapproved request expires after 90 days, so check expiry dates before you rely on the MSP to run a cancellation.
How long does it take to remove a domain from Microsoft 365?
As little as five minutes when few objects use the domain, and several hours up to a day when many users, aliases, groups or shared mailboxes reference it, per Microsoft Learn. The domain cannot be removed until every user is moved off it, so Microsoft recommends PowerShell (Update-MgUser) for tenants with hundreds or thousands of users.
Does cancelling Microsoft 365 delete our Microsoft Entra ID tenant?
Not on its own. When a subscription reaches Deleted, Microsoft Entra ID is removed only if no other service uses it, and MCA accounts keep Microsoft Entra ID Free, which cannot be cancelled. Deleting the tenant is step 5 of Microsoft Learn’s close-your-account process, after deleting users, cancelling and deleting subscriptions and disabling multifactor authentication.
Can I move Microsoft 365 from buying direct to buying through an MSP?
Not with the Partner Center transfer feature: Microsoft states it moves subscriptions only from CSP to CSP and does not support web direct subscriptions bought from Microsoft, per Partner Center. In practice the MSP sells new subscriptions and you turn off recurring billing on the direct ones, so line up the new term to start as the direct term ends to avoid paying twice.
