Benefits of Managed IT Services: What Holds Up Against the Data
By The Uptime Report Team · Last reviewed: October 2026
The benefits of managed IT services that survive a data check are 24/7 coverage and lower cost under about 75 users: a $102 median published MSP price against $234 per user for one hire at 30 users.
Key takeaways
- Across 31 US MSPs that publish their own prices, the cheapest plan with help desk support has a median of $102 per user a month, middle half $92 to $125 (Uptime Report price dataset, October 26, 2026).
- One help desk hire at the May 2025 BLS OEWS median of $61,860 costs about $78,903 a year with benefits (annual wage / 0.784, BLS ECEC Table 4): $233.68 per user a month at 30 users with $14.50 of Microsoft tool licences.
- The median published price crosses that break-even at about 75 users; first- and third-quartile prices cross at about 85 and 60 users.
- Staffing one help desk seat 24/7 in-house takes 4.77 full-time employees (8,760 hours / 1,836 hours worked per FTE), about $376,466 a year at the median wage.
- The July 2021 Kaseya VSA attack directly compromised fewer than 60 Kaseya customers and reached fewer than 1,500 downstream businesses (Kaseya incident update).
- Hiring a provider does not move HIPAA duties: the covered entity keeps its own risk analysis under 45 CFR 164.308(a)(1)(ii)(A) and must sign a BAA with any provider that handles its electronic health data (HHS OCR).
What are the benefits of managed IT services, and which ones hold up?
The benefits of managed IT services that hold up against public data are round-the-clock coverage, a cost below one in-house hire for firms under about 75 users at the median published price, and faster patching when the provider commits to it. Lower cost at any size, guaranteed uptime and outsourced compliance do not hold up as usually stated. The scorecard grades eight common claims against a named source.
| Claimed benefit | Verdict | What the data shows | Source |
|---|---|---|---|
| Lower IT cost | Holds below about 75 users | One help desk hire plus tool licences costs $234 per user a month at 30 users and $80 at 100; the median published MSP entry price is $102 | BLS OEWS, May 2025; BLS ECEC Table 4, June 2026; our dataset of 31 MSP price pages |
| Predictable monthly cost | Holds within a term, not across renewals | Mako Logics locks its price mid-contract but adjusts it at renewal for vendor cost changes, while BRITECITY promises no automatic yearly increase; average weekly pay in NAICS 541513, the industry code closest to MSPs, rose 14.3% from Q1 2023 to Q1 2026 | Mako Logics; BRITECITY; BLS QCEW, Uptime Report analysis |
| 24/7 coverage | Holds, if after-hours support is in scope | One seat staffed 8,760 hours a year takes 4.77 full-time employees once paid leave is netted out | BLS ECEC Table 4; 8,760 / 1,836 hours |
| Access to specialists | Holds at industry level | IT service firms (NAICS 5415) employ 33 systems administrators, 28 information security analysts and 29 network architects for every 100 help desk staff; one in-house generalist brings none of them | BLS OEWS industry staffing, May 2025 |
| Better uptime | Does not hold as stated | Four Microsoft 365 services in series give 99.69%; 13 of 14 vendor SLA documents make credits the sole or exclusive remedy | Uptime Report SLA review, Oct 2026 |
| Stronger security | Conditional | VPN and remote access gateway flaws published since 2022 reached CISA’s exploited list a median 1 day after NVD publication; the provider’s own remote tools are also exploited | CISA KEV 2026.10.16, Uptime Report |
| Compliance handled for you | Does not hold | Under HIPAA the client still runs its own risk analysis and must sign a business associate agreement with a provider that handles its electronic health data | HHS OCR cloud guidance |
| Scales with headcount | Holds | Per-user pricing moves one seat at a time; in-house cost moves in whole hires of about $78,903 each | BLS OEWS and ECEC arithmetic |
“Focus on your core business” appears in most benefit lists, but no public dataset measures it, so it is not scored. The staffing ratios come from 2025 OEWS counts for NAICS 5415, which also holds software and consulting firms, so they describe the talent pool behind a provider, not the team on any one contract; ask a provider for the named escalation roles in its own team, a point our guide to what a managed service provider does also covers.
What several guides say vs what the data shows
Several of the guides that rank for this topic are published by managed service providers, and they repeat figures without a primary source. Checked against the evidence, five of their claims fall short: the number is old or misattributed, measured on large enterprises, or promises more than a contract or the law delivers. The table sets each quote beside the document that tests it.
| Claim as published | Where it appears | What the evidence shows | Source |
|---|---|---|---|
| “a 2021 Gartner report discloses … 98% of organizations experience a financial drain north of $100,000 for every idle hour” | Cantey Tech, July 2023 | The 98% figure matches an August 2016 ITIC survey release, not a 2021 Gartner report. ITIC’s 2024 survey gives 97% for large enterprises with more than 1,000 employees, while 57% of firms with 20 to 100 employees put an hour at up to $100,000 | ITIC, Aug 2016; ITIC 2024 survey |
| “The average cost of downtime is $5,600 per minute, according to a 2014 study by Gartner” | Atlassian | Gartner’s source is a July 2014 analyst blog post on network downtime that cites the figure “based on industry surveys” and calls it “just an average”. SEC filings give a measurable alternative: a firm with $10 million in revenue books about $1,142 an hour | Gartner blog, July 2014; SEC XBRL, Uptime Report |
| “46 percent of firms have trimmed their annual IT expenditures by 25 percent or more” | Channel Insider, Oct 2011 | A self-reported CompTIA survey of managed services users from October 2011; another 50% saved 1% to 24%. It is more than 13 years older than the BLS May 2025 wages used in the cost arithmetic here | CompTIA, Trends in Managed Services, 2011 |
| “Many MSPs guarantee that your operations remain compliant” | American Express Australia | In the US, for example, HHS says the covered entity conducts its own risk analysis under 45 CFR 164.308(a)(1)(ii)(A) and signs a BAA; the provider becomes directly liable too, but the client’s duty stays | HHS OCR |
| Support from an MSP is “generally far better than what most internal IT teams can muster” | American Express Australia | A published MSP SLA promises response, not resolution: 4 hours for high priority, 1 business day for medium, 3 business days for low, with a $250 credit per missed response as the sole remedy | Connectria Service Level Agreement |
The ITIC 2024 survey is a web poll of more than 1,000 firms run from November 2023 to mid-March 2024, and 45% of respondents were large enterprises. Its figures are respondents’ estimates, not measured losses, which is why revenue per hour from SEC filings is the safer basis for a small business.
Is managed IT cheaper than hiring in-house?
Managed IT is cheaper than one in-house hire when the per-user quote sits below the break-even price for your headcount. One help desk employee at the BLS median wage of $61,860 costs about $78,903 a year with benefits. Add $14.50 per user a month of Microsoft tool licences the hire still needs, and the break-even at 30 users is $233.68 per user per month.
Intune Plan 1 and Defender for Business are already part of Microsoft 365 Business Premium, so a firm on that plan adds only the $3.50 Remote Help line; for that firm the median published price crosses one in-house hire at about 67 users instead of 75.
OEWS annual wages already include pay for vacation and holidays, so we gross them up only for the other benefits: wages plus paid leave are 78.4% of employer compensation for private-industry professional and related occupations in BLS ECEC Table 4 ($50.98 plus $6.78 of $73.69, June 2026), so loaded cost is the annual wage divided by 0.784.
| Step | Input or calculation | Value | Source or label |
|---|---|---|---|
| 1 | Median annual wage, computer user support specialists (SOC 15-1232) | $61,860 | BLS OEWS, May 2025 |
| 2 | Wages plus paid leave as a share of compensation, private-industry professional and related occupations | 78.4% | BLS ECEC Table 4, June 2026 |
| 3 | Loaded annual cost: $61,860 / 0.784 | $78,903 | Calculated |
| 4 | Tool licences per user per month: Intune Plan 1 $8.00, Defender for Business $3.00, Intune Remote Help $3.50 | $14.50 | Microsoft Intune pricing; Defender for Business, Oct 2026 |
| 5 | In-house cost per user per month at 30 users: $78,903 / 12 / 30 + $14.50 | $233.68 | Calculated; 30 users is illustrative |
| 6 | Managed quote: median entry price with help desk across 31 published MSP price pages | $102 | Uptime Report MSP price dataset, Oct 2026 |
| 7 | Managed annual cost: $102 x 30 x 12 | $36,720 | Calculated |
| 8 | In-house annual cost: $78,903 + $14.50 x 30 x 12 | $84,123 | Calculated |
| 9 | Annual difference | $47,403 a year in favour of the median quote | Calculated |
One employee still covers 40 of the 168 hours in a week, with no sysadmin or security skills behind them. The next two hires change the picture: a systems administrator at the $99,130 median costs $126,441 loaded, and an information security analyst at $129,180 costs $164,770.

What do MSPs publish as per-user prices?
Most MSPs quote privately, so we collected US providers that post their own per-user price on their website: 31 MSPs, 64 plans, fetched on October 26, 2026. The cheapest plan that includes help desk support has a median of $102 per user per month, with the middle half between $92 and $125. Top published plans have a median of $150.
| Measure (per user per month) | Entry plan with help desk | Top published plan |
|---|---|---|
| MSPs (n) | 31 | 31 |
| Lowest | $35 | $49 |
| First quartile | $92 | $122.50 |
| Median | $102 | $150 |
| Third quartile | $125 | $171 |
| Highest | $160 | $300 |
A plan counts only if it includes help desk support. We dropped co-managed, monitoring-only, add-on, security-only and reduced-user plans, and where an MSP publishes a range for a plan we use the low end. Several prices carry conditions: DAGTech’s is for 35 users on a 1-year term ($119 month to month), Accent Consulting’s is priced at 100 users with a 10-user minimum, and BRITECITY adds $17.85 per computer and $16.90 per mailbox. Where does the break-even price fall for your headcount?
The break-even price is the loaded cost of one help desk hire divided by 12 and by your user count, plus $14.50 of tool licences. It falls fast as headcount rises: $672.03 per user at 10 users, $233.68 at 30 and $80.25 at 100. The median published entry price of $102 crosses that curve at about 75 users.
| Users | Break-even per user per month (hire + tools) | Reading against published entry prices |
|---|---|---|
| 10 | $672 | Above the third quartile ($125): most published entry prices cost less than one hire |
| 20 | $343 | Above the third quartile ($125): most published entry prices cost less than one hire |
| 30 | $234 | Above the third quartile ($125): most published entry prices cost less than one hire |
| 50 | $146 | Above the third quartile ($125): most published entry prices cost less than one hire |
| 75 | $102 | About equal to the median entry price ($102) |
| 100 | $80 | Below the first quartile ($92): most published entry prices cost more than one hire |
Local pay moves the curve. Among metros with at least 500 help desk jobs outside Puerto Rico, medians run from $50.98 an hour in Sacramento-Roseville-Folsom, CA to $22.66 in Gainesville, FL, according to our help desk salary report; multiply your metro’s hourly median by 2,080, divide by 0.784 and rerun the table.
What does 24/7 coverage cost if you build it yourself?
Round-the-clock coverage is the benefit the arithmetic favours most. A year has 8,760 hours, and one full-time employee works about 1,836 of the 2,080 paid hours once vacation, holidays and sick leave are netted out, so one seat staffed at all times needs 4.77 full-time employees. At the median help desk wage that is about $376,466 a year before tools.
A provider spreads the same night and weekend shifts across many clients, so a per-user fee can include them, though Datapath notes that business-hours support costs less than 24/7 coverage and some quotes carve out after-hours work. In our dataset, 7 of the 31 entry plans include after-hours or 24/7 help desk support, 7 run business hours only and 17 are partial or do not say. At the $76.34 median GSA ceiling rate in our IT hourly rates research, a dedicated technician working 160 hours bills about $12,214 a month, so no fee inside the published range buys a dedicated person for an office of 30 users or fewer.
“24/7” in a contract often covers only the top priorities. Connectria’s published SLA calculates emergency and high-priority response 24/7/365, but medium and low-priority tickets run Monday to Friday, 7am to 7pm Central time. Check four things before you sign:
- Which ticket priorities the 24/7 promise covers, and what defines each priority.
- Whether the clock measures response or resolution; Connectria’s high priority is a 4-hour response with status updates every 4 hours.
- Which submission channels count; Connectria’s response guarantees do not apply to requests sent by email.
- Whether the response clock pauses while the provider waits on you; Connectria’s does.
Do managed IT services improve uptime?
A managed service provider can shorten outages it controls, such as a failed server or an unpatched firewall, but it cannot promise more availability than its vendors deliver. Microsoft commits Exchange Online, SharePoint Online and Teams to 99.9% each and Entra ID to 99.99%; all four in series give 99.69%, about 2 hours 15 minutes of permitted downtime a month.
| Service or contract | Commitment | Remedy when missed | Claim rule | Source |
|---|---|---|---|---|
| Microsoft 365 Exchange Online | 99.9% a month | 25% credit below 99.9%; 50% below 99% | By the end of the month after the incident | Microsoft Online Services SLA |
| Google Workspace | 99.9% a month | 3, 7 or 15 days of service | Within 30 days of becoming eligible | Google Workspace SLA |
| Connectria network (MSP) | 100% a month | 5% of the monthly fee for affected servers per 30 minutes, up to 50% | Ticket within 45 days; credit is the sole and exclusive remedy | Connectria SLA |
| Connectria ticket response (MSP) | Emergency immediate; high 4 hours; medium 1 business day; low 3 business days | $250 per missed response, up to 50% of the monthly fee | Not available for requests sent by email | Connectria SLA |
Credits are small next to the cost of an outage. An 8-hour outage in a 30-day month drops Exchange Online to 98.89% uptime, which earns the 50% credit tier, according to our review of 35 published SLA commitments:
- Exchange Online credit (50% of $4.00), Plan 1 at $4.00 per user per month: $2.00 per user.
- Even a full 100% credit on a $32.00 plan (Microsoft 365 Business Premium with Copilot, the most expensive Microsoft 365 business plan listed): $32.00 per user, about 11% of the payroll below.
- 8 hours of payroll at $37.81 an hour, the September 2026 BLS average hourly earnings for private-sector employees (preliminary): $302.48 per user, about 151 times the credit.
For revenue at stake, a business with $10 million in annual sales books about $1,142 an hour across all hours of the year, or about $4,444 per business hour if sales land in a 9-hour day, 250 days a year, by the method in our cost of downtime analysis.
Do managed IT services make a business more secure?
Managed IT improves security when the provider patches faster than the business would alone, and it adds risk because the provider’s remote tools become a route into every client. In CISA’s Known Exploited Vulnerabilities catalog, VPN and remote access gateway flaws published since 2022 were listed a median 1 day after NVD publication, and 73% within a week.
That speed matters because the federal benchmark now assumes days, not weeks. Binding Operational Directive 26-04, which replaced BOD 22-01 in June 2026, gives agencies 3 to 14 calendar days to fix a KEV-listed flaw on an internet-facing asset. A provider that patches internet-facing gateways inside that window delivers a security benefit that a monthly patch cycle does not. Write the window into the contract in days.
| Clock | Days | Basis | Source |
|---|---|---|---|
| VPN and remote access gateways: NVD publication to KEV listing | 1 (median) | CVEs published since 2022, n = 45 | CISA KEV via Uptime Report |
| RMM and IT management tools: NVD to KEV | 6 (median) | CVEs since 2022 | CISA KEV via Uptime Report |
| Rest of the KEV catalog: NVD to KEV | 8 (median) | CVEs since 2022, n = 741 | CISA KEV via Uptime Report |
| Remote support software: NVD to KEV | 22 (median) | CVEs since 2022, n = 12 | CISA KEV via Uptime Report |
| BOD 26-04: exposed KEV flaw, fastest tier | 3 | Calendar days, with forensic triage where an attacker gains total control | CISA BOD 26-04 |
| BOD 26-04: exposed KEV flaw, other tier | 14 | Calendar days | CISA BOD 26-04 |
| Monthly patch cycle, worst case (illustrative) | 30 | A flaw disclosed the day after a monthly patch run | Illustrative |
The same catalog shows the other side. It lists 60 exploited flaws in RMM and IT management tools and 13 in remote support software, and CISA flags 50% of the remote support entries with CVEs published since 2022 as used in ransomware, against 16% for the rest of the catalog, as our RMM vulnerabilities research details tool by tool.
What are the risks and disadvantages of managed IT services?
The main risks of managed IT services are concentration, capped remedies, lock-in and price drift. One compromised remote management tool can reach every client of every provider that runs it: the July 2021 attack on Kaseya VSA on-premises servers directly compromised fewer than 60 Kaseya customers and reached fewer than 1,500 downstream businesses, according to Kaseya’s incident update.
| Risk | Evidence | What to put in the contract | Source |
|---|---|---|---|
| Concentration through RMM and remote support tools | Kaseya VSA, CVE-2021-30116, CVSS 9.8 (NVD), flagged by CISA as used in ransomware; 15 RMM and IT management entries were added to KEV in 2026, the most in any year | MFA on every provider account, IP allow-listing for remote tools, removal of unused agents, a named patch window for the RMM server | Kaseya, July 2021; CISA AA22-131A |
| Capped remedy | 13 of 14 vendor SLA documents make credits the sole or exclusive remedy; Connectria’s MSP SLA does the same | A termination right after repeated misses; never treat credits as insurance | Uptime Report SLA review; Connectria SLA |
| Lock-in at exit | NIST CSF 2.0 outcome GV.SC-10 expects supplier plans to cover activity after an agreement ends; notice periods in our price dataset run from month to month (BRITECITY) to 30 days (Technijian), 60 days (VirtuWorks) and 90 days (Simply IT) | Handover of documentation, admin credentials and data, with a fixed transition period | NIST CSWP 29, Feb 2024 |
| Price drift | Average weekly pay in NAICS 541513 rose from $2,892 to $3,306 between Q1 2023 and Q1 2026 | A cap on per-user increases at renewal, for example no more than a stated percentage a year | BLS QCEW, Uptime Report |
| Unclear ownership | CISA tells customers to “ensure MSP-customer contracts transparently identify ownership of ICT security roles and responsibilities” | A written responsibility matrix, as NIST CSF 2.0 GV.SC-02 describes | CISA AA22-131A; NIST CSWP 29 |
CISA, the NSA, the FBI and four allied cyber agencies issued advisory AA22-131A, dated May 11, 2022, after reports of rising malicious activity targeting MSPs, and said they expect the trend to continue.
Does a managed service provider take over compliance?
No. Under HIPAA, a provider that stores or processes electronic protected health information for a clinic becomes a business associate and must sign a business associate agreement, but the clinic still runs its own risk analysis under 45 CFR 164.308(a)(1)(ii)(A). HHS says business associate status applies even when the provider stores only encrypted data and holds no key.
What the provider can carry is contractual. HHS notes that an SLA can address system availability, backup and data recovery, and the return of data when the contract ends. NIST CSF 2.0 outcome GV.SC-02 asks for supplier roles and responsibilities to be established and communicated, which in practice means a document listing who patches, who reviews logs and who notifies regulators.
Should your business use managed IT services?
Use full managed IT when you need coverage beyond business hours, or when you have fewer than about 75 users and a quote at or below the median published price. Above that size with IT staff already on payroll, the arithmetic favours a co-managed arrangement that buys monitoring, patching and after-hours cover while daytime staff stay.
| If your situation is | Do this | Threshold behind it |
|---|---|---|
| You need support or monitoring outside 40 business hours a week | Buy 24/7 cover from a provider and check which priorities it covers | In-house needs 4.77 FTEs per seat, about $376,466 a year |
| Under 60 users, no IT staff | Full managed IT | Even a third-quartile entry price ($125) costs less than one $78,903 hire plus tools |
| 60 to 85 users | Full managed if the quote is below your break-even | Break-even falls from $124 at 60 users to $97 at 80; the median entry price of $102 crosses at about 75 users |
| Over 85 users with IT staff | Co-managed: keep daytime staff, buy monitoring and after-hours | Even a first-quartile entry price ($92) costs more than one hire |
| Over 85 users, no IT staff | Price one in-house hire plus 24/7 add-ons against each quote | One hire plus tools costs $80 per user a month at 100 users |
| You hold HIPAA electronic health data | Sign a BAA and keep your own risk analysis | 45 CFR 164.308(a)(1)(ii)(A) |
| The provider uses ScreenConnect, SimpleHelp or BeyondTrust remote support | Require current versions, MFA and IP allow-listing | 50% of remote support KEV entries with CVEs from 2022 on are ransomware-linked |
To test a quote before signing, run these steps in order:
- Place the per-user price against the published range: $92 to $125 is the middle half of entry plans with help desk in our dataset.
- Compute your break-even: your local help desk annual median / 0.784 / 12 / users, plus $14.50 of tool licences.
- Read the SLA for response vs resolution, which priorities run 24/7, and the claim deadline (45 days at Connectria; the end of the following month at Microsoft).
- Ask for the list of RMM and remote support tools on your endpoints and the patch window for each.
- Get exit terms in writing: documentation, credentials, data and a transition period, plus a cap on renewal increases.
If you keep internal staff, the split of duties in our guide to co-managed IT services is the model the over-85-user rows point to, and quote structures by tier are in our managed IT services pricing guide.
How we compiled this
We compiled this page in October 2026 from 13 primary documents: BLS OEWS May 2025 wage and industry staffing estimates (read through the BLS public data API), BLS ECEC Table 4 for June 2026, Microsoft list prices, HHS HIPAA cloud guidance, NIST CSF 2.0, CISA advisory AA22-131A, CISA BOD 26-04 (which revoked BOD 22-01), CISA’s Kaseya guidance, Kaseya’s archived July 2021 incident update, Connectria’s published SLA, ITIC’s 2016 release and 2024 survey, and Gartner’s archived 2014 post. We built a dataset of 31 US MSP price pages fetched on October 26, 2026, and used 6 Uptime Report research datasets built from GSA, BLS, SEC, CISA and published vendor SLA data. We did not survey providers or test any service. To check any row against its source, download the full dataset (CSV).
Frequently asked questions
What should an MSP contract include?
Six clauses do most of the work: priority definitions with response and resolution targets (Connectria promises a 4-hour response for high priority, not a fix); which priorities run 24/7; a patch window in days for internet-facing devices; a list of RMM and remote support tools on your endpoints; exit terms for documentation, credentials and data, as NIST CSF 2.0 GV.SC-10 expects; and a cap on renewal increases.
How long are managed IT contracts?
Published terms run from month to month to multi-year. BRITECITY bills month to month, Technijian offers 30-day cancellation, VirtuWorks needs 60 days’ written notice and Simply IT 90 days. DAGTech prices the same plan at $119 per user month to month and $95 on a 1-year term at 35 users in its calculator, $24 less a user (its FAQ quotes savings of up to 15% for 1 year and up to 20% for 3 years).
Do managed IT prices include Microsoft 365 licences?
Often not: DAGTech and Mako Logics bill Microsoft 365 separately, and VirtuWorks shows both: $109.99 per user if you bring your own licence and $129.99 with Microsoft 365 Business Premium included, a $20 gap against Microsoft’s $22.00 list price. Whole Technology includes Business Premium in its $160 rate, and Simply IT passes licences through at or near cost. Check which line a quote puts the licence on before comparing two providers.
Is there a minimum number of users for managed IT?
Often, yes. In our price dataset VirtuWorks and FCG start at 5 users or seats, Accent Consulting requires 10 users, Straight Edge Technology 12, and BRITECITY sets a $2,500 monthly floor, about 16 users at its $157 rate. Below those sizes, a help-desk-only plan such as Corporate Technologies’ $35 Help Desk Connect may be the realistic starting point.
What is not included in a managed IT monthly fee?
Published price pages list the carve-outs. BRITECITY adds $17.85 per managed computer and $16.90 per mailbox to its $157 per-user rate, Whole Technology charges $400 per site a month, NerdTeck bills on-site labour at $100 an hour, and FCG itemises firewalls, servers and network devices. At DAGTech the extras are scheduled projects, hardware purchases and licences.
